We’ve been using TutorCruncher for a while, and overall it remains a helpful platform for managing our tutoring operations, especially when it comes to lessons, reports, client records, and pulling data from the system.

One thing we appreciate is that TutorCruncher provides API documentation that allows us to pull information from TC when needed. That part has been useful and generally works for the reporting and data access we need.

That said, the API and integrations still feel a bit limiting at the moment. When we try to create API connections to TutorCruncher using tools like Google Apps Script, the connection sometimes gets shut down. We’ve also run into similar issues when using paid automation tools like Zapier or Make.com, especially when there are no reports being returned. This can make it difficult to reliably pull information out of TutorCruncher for our internal workflows.

The Google Calendar integration is also still slow, which can be frustrating when we’re trying to keep schedules synced and accurate.

We’ve also had some adjustment challenges with the newer layout. Some labels, like “job finished,” became harder to see in the new design, and we had to adjust tag colors ourselves to make them clearer. The reports page in the new design has also been harder to get used to, though it is helpful that TutorCruncher still allows users to switch back to the classic layout.

Overall, TutorCruncher is still a useful system for our business, and we appreciate the continued improvements. We just hope to see the API/integration reliability, Google Calendar syncing speed, and some of the new layout visibility issues improved over time.

For tutors, the session reports are especially effective, the system is easy to navigate, straightforward to use, and makes completing lesson feedback quick and efficient.

From an accounting perspective, the platform is extremely helpful because reports can be downloaded easily using a wide range of job and lesson filters. This makes reconciliation much simpler and saves significant administrative time.

The attendance reporting and session reconciliation features are also very useful for maintaining accurate records.

Tutor payroll processing is another area where the platform performs well. The payment balance view is clear and easy to understand, making it much easier to track tutor payments and manage payroll efficiently.

For the admin team, TutorCruncher is a fast and effective way to send bulk emails to tutors and monitor who has read them, which has improved communication and follow-up processes considerably.

Overall, TutorCruncher has helped streamline administration, reporting, payroll, and communication processes while remaining user-friendly for both tutors and back-office teams.

I’ve been using TutorCruncher for a short while now, since the start of operating my business. I use it to manage my tuition business, and it has honestly transformed the way I operate. I like the flat rate. There is a lot of functionality. There are a couple things I wish they had but there are always work arounds so it is not the biggest deal. But a trade off is the learning curve. Good product and customer service!

Really helpful with the all the questions I had - pointing me in the right direction of helpful links and videos. They get back to you really quickly, which it great.

The platform is user friendly and has many options available for a variety of business set ups. The team is very helpful, happy to walk you through initial set up, and email responses to ad-hoc questions. There are a selection of basic web sockets (api) that you can integrate into your website.
With so many different business set-ups there is always going to be room for improvement in covering all the possible use cases and workflows. The web sockets can be limiting if you have specific desires, however technical know-how can overcome these.

The accounting function allows you to invoice clients easily once lessons are complete.
There is a great deal of functionality and this can be overwhelming when starting out but the training and support that the team give is incredible. Once you are up and running there are helpful videos o guide you through every question along the way.
It's also helpful that you receive a free trial when you start so you can get to grips with the package and start tutoring straight away without having to commit until you are satisfied that its the right package for you.
